Hours: Full Time, Monday- Thursday 9:00 am to 6:00 pm and Friday 9:00 am to 5:00 pm

Location: Great Neck, NY

Compensation: starting at $60,000

Summary:

Are you an organized, tech-savvy professional who thrives in a fast-paced environment? We’re seeking a proactive Executive Assistant to support our dynamic executive team. In this role, you’ll play a crucial part in streamlining operations, managing schedules, and providing high-level administrative support that enhances executive productivity and organizational efficiency.

What you will be doing:

  • Manage complex calendars, appointments, and travel itineraries for C-suite executives (CEO, COO, CFO).
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Draft, proofread, and manage communications, including emails, reports, and presentations.
  • Coordinate and prepare materials for meetings and ensure follow-ups are completed.
  • Handle phone calls, messages, and correspondence with professionalism and discretion.
  • Track budgets, process expense reports, and oversee company credit card and cell phone accounts.
  • Provide personal assistance to the CEO and family, including travel and household management.
  • Support real estate operations by maintaining leasing documents, collecting tenant payments, and verifying insurance and event agreements.
  • Troubleshoot minor IT issues and liaise with external IT providers.
  • Oversee office supply inventory, equipment maintenance, and subscription management.
  • Collaborate with HR to post jobs, source candidates, and support onboarding processes.

 

What you will need:

  • Proven experience supporting C-suite executives as an Executive Assistant.
  • Strong background in calendar management, travel planning, and office administration.
  • Tech-savvy with the ability to quickly learn and master new systems.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal and communication skills.
  • Flexibility to adapt to shifting priorities and occasional work outside of regular hours.
  • Bonus: Experience in office management, customer service, or real estate admin support.
